1. Who We Are

We provide a software-as-a-service (SaaS) platform. For data we process about website visitors, prospects, customers, and account users, we act as a data controller. For data processed inside the platform on behalf of customers, we act as a data processor. This processing is governed by our Data Processing Agreement (DPA).

2. Personal Data We Collect

Data you provide: name, email, job title, organisation, account and login details, billing and subscription information, support requests, and content uploaded to the platform.

Data collected automatically: IP address, device type, browser information, usage analytics, log files, cookies (see Cookie Policy).

Data from third parties: identity providers, resellers, payment processors, marketing and analytics providers.

3. How We Use Personal Data

We use personal data to provide and maintain the Service, authenticate users, deliver support, process payments, send service communications, improve the platform, comply with legal obligations, and send marketing communications with consent. We do not sell personal data.

4. Legal Bases for Processing

Contract – providing the Service, managing accounts, billing.

Legitimate interests – security, fraud prevention, service improvement.

Consent – optional cookies, marketing communications.

Legal obligation – tax, accounting, regulatory compliance.

5. Sharing Personal Data

We may share personal data with sub-processors, resellers, professional advisers, authorities, and third-party integrations chosen by the customer. All third parties are bound by appropriate contractual safeguards.

6. International Transfers

We do not intend to transfer your personal data outside the UK but where data is transferred outside the UK, we will use the UK Addendum to the EU SCCs, the International Data Transfer Agreement (IDTA), or other legally recognised safeguards.

7. Data Retention

We retain personal data only for as long as necessary for the purposes described or as required by law. Customer Data inside the platform is retained according to customer instructions.

8. Your Rights

You have the right to access, correct, delete, restrict, or object to processing; data portability; withdraw consent; and not be subject to automated decision-making with legal or significant effects. Contact legal@worxflo.com to exercise your rights.

You have the right to make a complaint to the Information Commissioner’s Office (ICO), the UK regulator for data protection issues (www.ico.org.uk). However, before doing so please make sure you have first made your complaint to us or asked us for clarification if there is something you do not understand. The ICO will expect you to have done this before reviewing your complaint.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

9. Security

We implement appropriate technical and organisational measures, including encryption, access controls, monitoring, and regular security testing.

10. Third-Party Links

This website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy policy of every website you visit.

Changes to the privacy notice and your duty to inform us of changes

We keep our privacy notice under regular review.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us, for example a new address or email address.
